Reduce PDF file size while checking text and quality

A smaller PDF is useful only if it still contains what the recipient needs. Choose the compression method based on the document, measure the result, and check a few demanding pages before downloading.

Choose the method for your document

The PDF Compressor offers two approaches. Compact structure keeps existing page text and images without reducing image quality. Start here for reports, invoices and documents where selectable text matters.

Compress as images renders each page into an image. This can help with scans when lower detail is acceptable, but the resulting PDF has image-only pages. Text selection and search are lost, and links, comments, bookmarks, attachments and document metadata are not carried over by this mode.

The tool supports static, unencrypted documents within its displayed limits. Forms and signed PDFs are unsupported. Keep those originals and use a workflow intended for them.

Measure savings instead of assuming them

Try structural compaction first, then compare the original and candidate sizes. Some PDFs are already efficiently compressed. Rewriting them can produce little improvement or a larger file. This tool keeps the original when the candidate does not reduce size.

A simple size check

A 10 MiB file reduced to 4 MiB saves 6 MiB, or 60%. A 12 MiB candidate for that same original saves nothing. Use the measured result and the destination’s own upload limit to decide whether the file is ready.

An upload limit is not a guarantee that any particular document can be made to fit. If you need only part of it, use the PDF Page Organizer or PDF Merge & Split to keep the relevant pages, then check the complete meaning of the shortened document.

Check the pages most likely to suffer

  1. Preview both the original and result.
  2. Zoom in on small text, signatures, thin lines and diagrams.
  3. Check a photograph or a scanned page with low contrast.
  4. For image compression, try a higher resolution or quality if details become unclear.
  5. Download only after confirming that the measured size and readability meet your task.

Do not check only the cover page. A clear title can hide unreadable tables later in the document. If a document contains codes that must be scanned, test them from the saved output too.

Keep a useful original and a smaller sharing copy

Name the output so you can distinguish it from the source, and reopen the downloaded file before sharing. Preserve the original when you may need editable text, annotations or better image detail later.

Removing metadata is not document anonymization. Visible content and other embedded information can still identify people. When structural compression keeps the original because the candidate is larger, optional metadata changes are not applied to that retained file.

Which option keeps searchable text?

Compact structure retains existing page content. Compress as images replaces pages with pictures, so the resulting text cannot be selected or searched.

Why is my PDF not smaller?

It may already be efficiently compressed. The tool measures the candidate and keeps the original when the candidate is not smaller.

Can I compress a signed PDF here?

Forms and signed documents are unsupported. Preserve the original and choose a workflow designed for those documents.

Does lower quality always solve an upload limit?

No. Lower quality can hurt readability, and some documents cannot meet the target without reducing dimensions or removing unneeded pages. Verify the actual result.
